How to manage ticket visibility for events with multiple time slots

Need to manage ticket sales for events with multiple time slots? You can now create different ticket types for specific time slots with Quicket, giving you greater flexibility and control over your ticket sales.

In this help article we’ll walk you through what time slots are and how to create ticket types for your time slots.

What are time slots?

Time slots are the specific periods during which your event occurs. They are particularly useful for:

  • Theater performances as you can create matinee and evening shows with different pricing.
  • Workshops and classes as you can create time slots for different times of the day to accommodate different groups.
  • Tours and exhibitions as you can manage your visitors by allocating specific entry times.

What are the time slot configuration rules?

Ticket type visibility for specific timeslots can be configured using inclusion or exclusion rules.

Inclusion rules allow you to show a ticket only during certain time slots. For example, you can make a ticket available only on weekends, during certain hours of the day, or on specific dates. Exclusion rules, on the other hand, allow you to hide a ticket during certain time slots. For example, you can choose to hide a ticket on weekends, after a certain time, or on specific dates.

The configuration rule you choose depends on when you want the ticket to be available and which time slots you want to include or exclude.

How can you create different ticket types for specific time slots?

As with all Quicket events, you can either configure the ticket types during the new event creation process or from your event dashboard. We’ll walk you through both options below.

Step 1: Create the event

1. Navigate to the Quicket homepage and select Create Events.
2. Login to your Quicket account.
3. Complete the required fields on the Organiser Profile and Event Details pages. Click here to learn how to create a recurring event.
4. Alternatively, create the ticket types for an existing event from your event dashboard. Simply browse to Organiser Hub → My Events. Then select the event and click Manage Checkout → Ticket Types.

5. On the Ticket Types page and click Add.
6. Choose the applicable ticket type. You can choose between Paid ticket or Free ticket types.
7. Name the ticket, provide the price, and quantity then toggle the arrow of the newly created ticket to reveal more options.

Step 2: Select the time slot configuration rule

Now it's time to assign your ticket type to specific time slots. You can choose to show this ticket on all your timeslots, on all time slots except specific times, or only specific time slots.

2.1. Show this ticket on all time slots

This is the default option. If left unchanged, the ticket will be available for purchase for every time slot of your event. In other words, the ticket type will be shown to attendees no matter which time slot they select.

For example, if you’re organising a series of performances (like a theater show with multiple dates and times), choosing this option will mean that the ticket will be available for every performance time you’ve set up. Attendees will be able to purchase the same ticket for any of the available time slots without any restrictions.

2.2. Show this ticket on all time slots except…

You can choose to make the ticket available on all your event time slots except those that meet specific conditions. This option allows you to hide the ticket during certain time slots.

  • On selected days of the week:
You can choose to hide the ticket on certain days of the week. For example, if you want the ticket type to be available only on time slots that start on weekdays, you can exclude it on weekends (Saturday and Sunday).

  • During a time range of the day:
You can set a time range to hide the ticket during specific hours of the day. For example, let’s say your event has shows from 2:00 PM to 5:00 PM and evening shows after 7:00 PM. You don’t want a discounted ticket available for evening shows. In this case, you would choose to hide the ticket for time slots starting after 6:00 PM.

  • Time range on selected day(s) of the week: You can also set a combination of days and specific times. For example, your Saturday evening shows are for over 18s only. In this case, you could configure the time slot to hide your ‘Children’ tickets on Saturdays from 5:00 PM to 7:00 PM.

  • During a specific date and time range: If your event runs over several days, you can choose to exclude tickets during a specific period. For example, your ticket sales run from 1 - 20 March, but you’re running an early bird special from 1 - 5 March. You could choose to hide your early bird tickets for all dates except 1 - 5 March. This way, only your early bird pricing will be available.

2.3. Show this ticket only on specific time slots

You can choose to make the ticket available for specific time slots. This option allows you to limit the availability of the ticket to specific days, times, or periods.

  • Specific days of the week: You can choose to show the ticket only on certain days of the week. For example, if you want the ticket to be available exclusively for weekend shows, you can set the rule to include only Saturday and Sunday. In this case, you would choose to show the ticket only on time slots for Saturday and Sunday.

  • During a time range of the day: You can make the ticket available exclusively during specific hours of the day. For example, if your event has shows from 2:00 PM to 5:00 PM and you’re offering a discounted ticket for those times only, you can set the rule to include the ticket for that time range. In this case, you would choose to show the ticket only on time slots that start between 2:00 PM and 5:00 PM.

  • Time range on selected day(s) of the week: You can set a combination of specific days and times. For example, if you’re offering a special ticket for weekday shows from 2:00 PM to 4:00 PM, Monday through Friday, you can configure the time slot to include the ticket only for those days and times. In this case, you would choose to show the ticket only on time slots that start between 2:00 PM and 4:00 PM on weekdays.

  • During a specific date and time range:
You can make the ticket available only during a specific date range. For example, if you’re running a special promotion and want the ticket to be available only for lunch performances between 1 - 5 March, you can set the rule to include it for that period. In this case, you would choose to show the ticket only on time slots that start between 1 - 5 March.

Step 3: Review, save, and sell

Once you’ve set your rules, it’s time to review your ticket configuration to make sure everything is correct. All of your time slot selections will be listed under the Ticket Details section.

To edit a time slot rule, simply click the pencil icon. Once you’re happy with your selections, scroll down and click Save Tickets.

Note: Be sure to review your ticket rules to ensure that they are configured correctly before selling to the public. Simple select Preview from your event menu to see how your ticket rules will appear from your guests' perspective.
